Privacy Policy Boston Golf Club 


Your privacy is important to us and we are committed to protecting and respecting your personal data in accordance with the Data Protection Act 1998 (DPA) and the EU General Data Protection Regulation (GDPR).

Our 'Privacy Policy' sets out how when and why we collect personal information from those who visit and use our website or apply for membership. It also explains how we use your personal data, the conditions under which we may disclose it to others and how we keep it secure.

Why we collect information from you.

We acquire information from you when you visit our website through Googles Analytics which uses “cookies” to help us to provide you the user with full functionality whilst on our website. For more details on cookies and how they are used and your options for disabling them please click here.
We also collect information from you when you complete a form to join the golf club, register for Golfing News direct from the website or make a booking for a golf or social event.

Members
This information is required to enable us to contact you in respect of either your continued membership of the club, updating you on matters affecting the club, the game of golf generally e.g rule changes, upcoming events.

Golfing News
Should you request to be added to our mailing list for updates regarding the golf club, special offers and upcoming events we will keep your contact details for this purpose only and you may ask to be removed form this list at any time and we will delete your records.

Visitors
Whether you make a booking in respect to a golfing or a social event we will keep your contact details to enable us to communicate with you to manage the booking and will only keep these details after the event should you provide us with the consent to do so.
We will only store data provided by you and will never hold information about you provided by a third party.

What type of information do we collect?

We keep two types of information, namely personal and website user.

Personal Information- This is the information that you provide to us such as:
• Your name
• Telephone number
• Email address
• Date of birth (members only)
• Gender (members only)
• Handicap
• Address (members and non members who book an event)
• Financial details (members only who use direct debit facilities)

Website User Information-
As referred to earlier through the use of cookies they log information such as your IP address and the pages you have visited to enable you to make full use of the websites features.

How do we use your information?
  • keep you informed of relevant golf club matters, events, opportunities and general golf matters
  • respond to your enquires
  • seek your views/ comments/ opinions to improve the services that we offer members and visitors
  • send you specific information that you have requested in the past
  • carry out any obligations we have for contracts that you may have entered into with us record keeping for analysis and monitoring our business performance

We will never pass your details onto a third party other than those who are involved in providing the various services that we provide including England Golf, Handicap Master, Mail Chimp (email provider) and the finance company that administers members direct debit payments. We may also disclose your personal information to those third parties who we are required to disclose information to in order to comply with a legal obligation or enforce our terms and conditions or other agreements or to protect our rights or property or those of our clients or others. This may include exchanging information with other companies in respect to fraud protection and credit risk reduction.

If you subscribe to our Golfing News letter or as a member have given us consent to contact you via email, we use a third party processor known as Mail Chimp who specialise in the delivery of email and newsletter services and as a consequence your personal data is processed by them.

How long do we keep your information?

For members we will keep your information whilst you retain your membership. Should you leave the club or chose not to renew your membership your records will be destroyed and should you rejoin in the future we would require a new application and consent form to be completed.

Non Members - Where a non member uses the clubs facilities and completes a booking form we will only hold the information until the booking has been completed and the date passes, unless you provide us with consent to retain your details for future reference and contact. Where consent is not given any personal details provided via booking will be destroyed after the event date.

In the case of non members we will periodically contact you in order to confirm that the contact details are still relevant and that you require us to keep and maintain your personal details for communication with Boston Golf Club.

Who may access your information

Your privacy is important to us and we will not pass on your details under any other circumstances than those described previously under the section entitled How do we use your information.

Only those members of staff and directors of the golf club who need to view your personal information for the purposes of carrying out their duties will have access to your personal details. You may request details of anyone who has access to your details.

Policy for Children

We are aware that children may use our website and would encourage all persons under the age of 13 to consult with their parent or guardian before submitting any content or information.
In the case of members i.e juniors under the age of 13 will require a consent form to be completed prior to any records being kept or any communication entered into.

How can you view, update or delete your information?

Access your data

You may ask for a copy of any of your personal details that we hold at any time by contacting us direct at secretary@bostongc.co.uk or call the office on 01205 350589 or visit the office Monday to Friday 9am to 3pm at Cowbridge, Horncastle Road, Boston, Lincs, PE22 7EL. We will provide this information within 30 days in a format that is convenient for you.

Updating your data

It is important that any personal information that we do hold on you is accurate and should any of your details change or details that we hold become out of date or inaccurate please let us know by contacting us direct at secretary@bostongc.co.uk or call the office on 01205 350589 or visit the office Monday to Friday 9am to 3pm at Cowbridge, Horncastle Road, Boston, Lincs, PE22 7EL.

Deleting your data

Should you require us to delete or erase your personal information held on our systems or in our records we will do so within 30 days and let you know that we have complied with your request. In all cases we do reserve the right to take steps to authenticate your identity before providing access to your records, updating records or deleting records.

Transferring your information outside of Europe

In some cases it is necessary to pass your information to suppliers outside of the European Union for example Mail Chimp which is based on the US.By submitting your personal data you agree to any such transfers. 
By submitting your personal data you are agreeing to this transfer, storing or processing of information.
Boston Golf Club ́s website is also built on a platform provided by a US company known as Weebly which by definition means that the cookie information is available to them. No personal information is stored on the website other than those items which appear in the public domain e.g names of competition winners.

Security

We take security seriously and have a number of measure in place to ensure your information is safe and secure and only accessible by those with the necessary authority to do so.
The members data base is only accessed as and when necessary and the computer system is protected and is subject to regular updates. All written information is kept secure and is only accessible by those members of staff and elected directors who are authorised to view such material. 
In the unlikely event that our systems or your data is breached we will notify you within 30 days and will include full details or any of your personal details that have been compromised.
The website although not containing personal data is also secure as can be evidenced by the small padlock symbol at the beginning of the website address where you can also click on and view the cookies that are enabled when you use any page.

Profiling

We do not use any of your personal information for marketing purposes either manually or by any other form of automation.

In the event that you are not satisfied with our response you may complain to the Information Commissioners Office (ICO).

Policy Review and Changes

Our policy is kept under review and is subject to an annual audit of procedures. In the event of any changes to this policy they will be posted on the Privacy page of the website and all those subscribed to our email data base will be notified.
